MiniMart POS Complete Point of Sale System for Shops and Supermarkets
MiniMart is a complete point of sale (POS) system built for shops, supermarkets, pharmacies, and multi-branch retail businesses in Kenya. It handles everything from daily sales and stock tracking to M-Pesa payments, customer credit, and financial reporting, all in one easy to use system that works on any computer through a web browser.
Multiple Shops, One System
If you run more than one shop or branch, MiniMart lets you manage all of them from a single account. Each branch has its own stock, sales, and staff, while the owner can view everything together or filter by individual shop.
Two Types of Users
The system has two levels of access. Shop owners and managers get full control over the business, including reports, settings, and staff management. Cashiers get a simpler view focused only on making sales, checking stock, and closing their till at the end of the day. Owners can also log in as any cashier to see exactly what they see, which is useful for training or troubleshooting.
Fast, Simple Checkout
The point of sale screen is built for speed. Cashiers can search for products, scan barcodes, or tap products directly on screen to add them to a sale. Payments can be taken in cash, M-Pesa, or on customer credit. When a customer pays with M-Pesa, they receive an STK push (payment prompt) directly on their phone, and the sale completes automatically once payment is confirmed.
Sell by Piece or by Package
Many shops sell items both individually and in bulk packaging, for example a pharmacy selling single tablets or a full strip, or a shop selling single eggs or a full tray. MiniMart handles this automatically. You set up the product once, and the system tracks stock in the smallest unit while letting cashiers sell either the individual piece or the full pack at the correct price.
Barcode and QR Support
Products can be scanned at checkout using a barcode scanner, and the system can also generate printable barcodes for products that don't already have one. Receipts include a QR code containing the required KRA e-TIMS tax information, so the business stays compliant with Kenya Revenue Authority electronic invoicing requirements.
Customer Management and Loyalty Points
Customer details, purchase history, and loyalty points are tracked automatically. Every purchase from a registered customer earns them points based on rules the shop owner sets, encouraging repeat business.
Customer Credit and Supplier Payments
MiniMart supports selling on credit to trusted customers, with a running balance that updates automatically as they pay it down over time, always settling their oldest debt first. The same applies on the supplier side, where the shop can track what it owes suppliers and record partial or full payments against those balances.
Refunds Made Simple
If a customer needs to return an item, staff can process a full or partial refund directly against the original sale, with the option to add the returned stock back into inventory automatically.
Expense Tracking
Day to day business expenses like rent, electricity, salaries, and supplies can be logged and categorized, giving owners a clear picture of where money is going each month.
End of Day Cash Reconciliation
At the end of each shift, cashiers record how much cash they counted in the drawer. The system automatically calculates what should be there based on the day's sales and refunds, and immediately shows any shortfall or surplus, making it easy to catch mistakes early.
Physical Stock Counts
When it's time to do a full inventory count, staff can generate a count sheet, walk the shop counting actual stock, and enter the numbers. The system then adjusts stock levels based on the difference between what was expected and what was actually counted, without undoing any sales that happened during the count.
Low Stock and Expiry Alerts
The system automatically flags products running low on stock or approaching their expiry date, and can send daily email alerts to shop owners so nothing gets missed.
Reports and Financial Exports
Owners get access to daily and monthly sales reports, profit and margin reports, and VAT reports for tax filing. Sales, expenses, refunds, and payment data can also be exported as spreadsheet files for use with an accountant or external bookkeeping software.
Data Backups
The system automatically backs up all business data every day, so information is protected even in the event of a technical problem.
Light and Dark Mode
Staff can switch between light mode, dark mode, or let the system follow their device's settings automatically, based on personal preference.
Who This Is For
MiniMart is built for retail businesses of any size, from a single small shop to a multi-branch supermarket chain, particularly those in Kenya who need built-in support for M-Pesa payments and KRA tax compliance.
